JTM Empire Ltd, trading as Impression Empire ("we", "our", "us"), is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the rights you have over it.
We are the data controller for the information described here. This policy applies to our website, our marketing communications including SMS and email, our booking and application forms, and our communications with clients and prospective clients.
If you do not agree with this policy, please do not use our services or submit information to us.
Under UK GDPR we must have a lawful basis for every use of your personal data. Ours are set out below.
| Purpose | Lawful basis |
|---|---|
| Responding to enquiries and providing customer support | Legitimate interests — responding to a request you made |
| Scheduling, confirming and reminding you about appointments | Legitimate interests, or performance of a contract |
| Sending marketing SMS and email | Consent |
| Delivering our services and managing your account | Performance of a contract |
| Measuring advertising performance and improving our website | Consent for non-essential cookies; otherwise legitimate interests |
| Keeping records of consent, invoicing and correspondence | Legal obligation and legitimate interests |
| Preventing fraud and securing our systems | Legitimate interests |
Where we rely on consent, you may withdraw it at any time. Withdrawing consent does not affect the lawfulness of anything we did before you withdrew it.
If you opt in to receive SMS messages from Impression Empire, we may send you promotional and marketing content including offers, availability updates and appointment-related messages.
Message frequency varies. Message and data rates may apply. Reply STOP to any message to unsubscribe, or HELP for assistance. You can also email [email protected].
Consent to receive text messages is never a condition of purchase. All opt-ins are captured through a clear and intentional action — submitting a form that states the consent language, texting a keyword, or ticking a consent box. We store the record of that consent securely, including the time, the wording shown to you and the source.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All of the categories described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We do not sell, rent or trade your personal information, and we do not share it with third parties for their own marketing purposes.
We do use a small number of trusted service providers who process data on our behalf and under our instruction only, so that we can operate. These are categories, not audiences for your data:
Each provider is bound by contract to protect your data, use it only for the purpose we specify, and not to use it for their own purposes. We may also disclose information where we are required to by law, by a regulator, or by a court, and in connection with a sale or reorganisation of our business.
We use cookies and similar technologies to make our website work, to remember your progress through our forms, and — with your consent — to measure the performance of our advertising.
You can control or delete cookies through your browser settings. Blocking strictly necessary cookies may prevent parts of the site from working.
Some of our service providers are located outside the United Kingdom, including in the United States. Where personal data is transferred outside the UK, we rely on an approved transfer mechanism — such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision — to ensure your data receives an equivalent standard of protection.
| Information | Retention |
|---|---|
| Enquiries that do not become clients | Up to 24 months from last contact |
| Client records and correspondence | Duration of the relationship, then 6 years |
| Financial and invoicing records | 6 years, as required by UK tax law |
| SMS and email consent records | For as long as consent is active, then 6 years |
| Website analytics data | Up to 26 months |
When a retention period ends we delete the information or anonymise it so it can no longer identify you.
We use appropriate administrative, technical and physical safeguards to protect your information against unauthorised access, loss, misuse or disclosure. These include access controls, encryption in transit, and limiting access to those who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Under UK GDPR you have the right to:
To exercise any of these, email [email protected]. We will respond within one month. We may need to verify your identity first.
You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. We would ask you to raise it with us first so we can try to resolve it.
Our services are directed at businesses and are not intended for children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with information, contact us and we will delete it.
We may update this policy from time to time. The current version is always the one published here, with the date shown at the top. Where changes are significant, we will take reasonable steps to notify you.
